Petrol Pump ERP Software

Close every shift in minutes, not hours. Nozzle readings, tank dips, credit sales, lubricants and cash-up reconcile automatically — with owner dashboards on any device.

Fuel Stations & Retail Energy

Built Around the Shift Close, Not a Generic Till

A fuel station lives or dies by the shift close. Opening and closing nozzle meter readings, tank dip measurements, test returns, cash collected, card and wallet settlements, credit slips and lubricant sales all have to agree — and when they do not, someone has to find the gap before the next shift starts. Our petrol pump ERP does that arithmetic for you the moment readings are entered.

Every nozzle is mapped to a tank and a product, every tank to a purchase price, so gross margin per litre is known in real time rather than at month end. Attendants get one simple entry screen, managers get variance flags, and owners get a live dashboard of sales, stock and receivables across every station they run — cloud or on-premise, on desktop or phone.

How It Works

From Meter Reading to Margin, Automatically

Every step your shift supervisor already performs — digitised, cross-checked and posted the moment it is entered.

The shift close that balances itself

At the start of a shift, the system carries forward every nozzle's closing reading as the new opening. The attendant or supervisor enters closing meters, test returns and the cash, card and wallet collections. The ERP computes litres sold per nozzle, values them at the current selling rate, applies credit slips against customer accounts and shows the cash that should be in the drawer against the cash that actually is. A short shift is flagged immediately, with the exact nozzle and amount, instead of surfacing as a mystery in the monthly accounts.

Tank stock you can trust

Book stock is maintained continuously from decantation receipts and nozzle sales, and reconciled against physical dip readings whenever they are taken. The system separates normal evaporation from meter drift and from genuine shortage by comparing patterns across shifts and tanks, so a failing meter or a leaking line shows up as a trend rather than a one-off argument. Tanker receipts record density and temperature so landed cost per litre is accurate, and low-stock thresholds trigger reorder alerts before a nozzle runs dry.

Credit that gets recovered

Fleet accounts, corporate customers and local credit slips are all posted to party ledgers as the shift closes. Each account carries a credit limit the system enforces at the pump, an ageing profile the recovery team works from, and a statement any customer can be sent on demand. Automated reminders go out by SMS, WhatsApp or email on your schedule, and owners see total receivables and the oldest balances on the dashboard rather than in a ledger book.

FAQ

Petrol Pump ERP Questions

Common questions from fuel station owners and managers.

A single station is normally live within 2–4 weeks, covering tank and nozzle mapping, opening stock, credit customer setup, staff training and a short parallel run alongside your existing registers. Multi-station networks take 4–8 weeks depending on how many sites and how much history you want migrated.

Yes, where the dispensers support it. We integrate with automation controllers and pump-management units to pull meter totals directly; where a station has older mechanical dispensers, readings are entered manually on a fast, single-screen form with built-in sanity checks so an impossible reading cannot be saved.

Price revisions are recorded with a date and time, and sales are valued against the rate in force at the moment of the reading. If a price changes during an open shift, the system splits the litres at the changeover point so revenue and margin stay accurate, and the price-change log doubles as an audit record.

Yes. Non-fuel retail runs as a full inventory module with its own purchase, stock, pricing and margin reporting, including barcode scanning at the counter. Fuel and non-fuel results are reported separately and consolidated, so you can see which side of the business is actually earning.

Yes. Multi-station operators get a consolidated panel showing litres, revenue, margin, tank stock and receivables for every site, with the ability to drill into a single station, shift or nozzle. Users can be restricted to their own station while owners and regional managers see everything.
